Terms and Conditions

Please read these booking conditions carefully. In completing and submiting the Booking Form, you agree to be bound by these conditons which constitute the agreement between ICNOS Adventures and you. No purported variation of these condtions will be effective unless in writing and signed by a person so authorized by ICNOS Adventures. All holidays advertised in our catalogue and on our website are operated by ICNOS Adventures (hereinafter called ICNOS or We), and are sold subject to the following conditons:

1. Insurance

Personal travel insurance is not included in the tour price. Adequate and valid travel insurance is compulsory for all ICNOS travellers and it is a condition of accepting your booking that you agree you will have obtained adequate and valid travel insurance for your booking by the date of departure.To be acceptable to ICNOS, a policy of travel insurance must be valid for the entire duration of the tour and cover you for accidents, illness, injury, death medical expenses (including any related to pre-existing medical conditions), loss of baggage and personal items, cancellation, curtailment, emergency rescue and repatriation.
You agree that it is your responsibility to check the adequacy and validity of any insurance policy effected by or on your behalf and you must provide evidence to ICNOS that you have obtained personal travel insurance.

2. How to book

To make a booking please email us at info@icnosadventures.com. The person making the booking (the ‘lead name’) must be 18 years old or over and possess the legal capacity and authority to make the booking and accepts these booking conditions on behalf of everyone in their party. You will need to pay a deposit of at least 20% of your selected travel arrangements. You must pay the remainder of the cost due not later than 56 days before departure. If you book less than 56 days before departure, full payment must be made on booking. If you do not pay the balance by the due date your booking will be cancelled and you will forfeit your deposit. Upon we receive your booking form and your deposit we will issue a Confirmation Invoice. A contract will exist between us from the date we issue the Confirmation Invoice. When you receive the Confirmation Invoice please check the details carefully and inform us immediately if anything is incorrect. Names on travel documents must exactly match those in your passports. If the tour is not available and an alternative departure is not suitable, we shall return your booking form and payment in full. Payment of the full tour price may be made by bank transfer or by PayPal Email Payments without surcharge. Upon receipt of your full payment and generally about 4 weeks before the start of your holiday you will be sent the information relevant to your holiday by email, to include accommodation details, pre-departure information and other information relevant to the holiday in question. Route notes and maps for self guided tour will be awaiting you at your first accommodation. It is your responsibility to ensure that you have a valid passport and travel documents to join our tours.

3. Tour Prices

Our advertised prices are per person and based on two people sharing a room. Single rooms may be available upon payment of an additional single supplement fee. Solo travellers are welcome on group guided tours. If you are traveling alone and you wish to share a room, we will make every effort to find you a roommate of the same gender. If we are unable to pair you, we will invoice you for the single supplement 56 days prior to the trip. If we are subsequently able to find you a roommate, we will gladly refund the single supplement. For full details about the tour prices please refer to Tour Details on ICNOS catalogue. Without limitation, the following items are not included in the trip price: personal travel insurance; visa, passport and vaccination charges; departure, airport and airline taxes; drinks, extra meals, transport costs, accommodation costs, or other expenses not included in the itinerary; laundry, medical expenses & items of a personal nature; additional expenses caused by delay, accidents or disruption of planned itineraries; and tips, onboard beverages and excess baggage charges. ICNOS tries its utmost not to increase tour prices, however sometimes increases are outside its control.

4. Booking amendments

If you wish to make any change to your booking, you must notify ICNOS in writing. If you inform us 56 days or more in advance that you want to change the dates of your holiday or choose a different holiday, we will be happy to arrange that for you, subject to availability. If your request comes to us within 56 days of your holiday start date, we will do our best to change your booking for an administration charge of € 20,00 per person plus any cancellation charges that we may have incurred on your behalf. If it is impossible to make a new booking to your satisfaction, your holiday will be cancelled, in which case cancellation charges will apply, as described below. No amendments are permitted to your booking within 10 days of departure. We therefo- re strongly urge you to insure yourself against this risk.

5. Changes to your journey

Travel requires a certain measure of flexibility and an understanding that the itinerary, accommodation, and modes of transport may be changed, even after the tour’s commencement, without notice. Changes may occur because of force majeure, poor road conditions, weather, the availability of tickets, vehicle breakdowns, and changes in transport schedules or other circumstances beyond our control. The information about the Tour is subject to change. Where changes to the Tour occur after you have received your final documentation we will, where practical, advise you of such changes. We do not accept any responsibility for loss of enjoyment, delays or changes due to force majeure. Group sizes may also vary. No refunds will be made in any of these situations.

6. Minimum numbers

Self guided tours are independent and operate without a guide. No minimum passen- gers required on a Self-guided tour. Group guided tours require minimum numbers to operate and this varies from trip to trip (please see the trip details on our catalogue). We may elect, at our discretion, to operate trips with small numbers. ICNOS reserves the right to cancel any group tour prior to departure in the event that there are too few people booked on a tour in which case you will be given a full refund of the tour price paid by you. You will not be entitled to claim any additional amounts or seek any compensation for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience which may result from such cancellation (including but not limited to visa, passport charges, or departure, gear purchases, airport and airline taxes).

7. Cancellation by you

If it becomes necessary to cancel your tour, please immediately notify us in writing. The date of the cancellation is the date on which written notification is received by ICNOS. Days before departure, charge applicable as follows, per person: More than 56 days: Loss of deposit Between 56 and 30 days: Loss of 50% of total booking cost 30 days or less: Loss of 100% of total booking cost The tour price is quoted as a package. No partial refunds or credit will be given for any accommodation, transport, sightseeing, meals or services not utilised. Depending on the reason for your cancellation, these charges may be recoverable under any insurance policy you purchased. We recommend that you are fully covered by a comprehensive travel insurance policy. If you do not pay the balance of your total booking cost within 56 days of departure your booking may be terminated and you will lose your deposit. No refunds will be made if you leave a trip for any reason after the trip has begun.

8. Cancellation by ICNOS

ICNOS reserves the right to cancel a departure and will advise you of such cancella- tions no later than 56 days before the tour departure date. If due to ‘Force Majeure’ or government travel advice, ICNOS reserves the right to cancel a departure at any time. With any form of cancellation, ICNOS will offer you alternative arrangements, and if the price of your alternative booking is of lower value than the original booking we will refund the difference to you. If you do not accept alternative arrangements we will refund all payments you have made to ICNOS, (in case of ‘Force Majeure’ or government travel advice refunds will be less any unrecoverable costs). ICNOS will not be liable for any additional costs incurred by you.

9. Force Majeure

ICNOS will not be liable for any damage, accident or death, or for the delay, alteration or cancellation of trips due to Force Majeure. Force Majeure means a circumstance beyond the reasonable control of ICNOS and includes, but is not limited to, war or threat of war, riot, civil strife, terrorist activity, industrial dispute, disease, natural disasters, adverse weather conditions, fire, strikes, sickness, cancellation or changes of train, plane or bus schedules or any other circumstances beyond our control.

10. Tour leaders

At all times the decision of the ICNOS Leader will be final on all matters likely to affect the safety and well-being of the trip. This includes any decision that the ICNOS Leader makes about your on-going participation in the trip or certain activities that comprise part of the trip. If you fail to comply with a decision made by a ICNOS Leader, or interfere with the well-being of the group, then the ICNOS Leader reserves the right to terminate this contract and order you to leave the tour immediately, with no right of refund.

11. Health and fitness requirements

You declare and warrant that: -you are in good health and mental and physical fitness; -you have disclosed to ICNOS every matter concerning your health and mental and physical fitness of which you are aware that is relevant to ICNOS’s decision to permit you to go on the walking tour.

12. Complaints

If you have any complaint about your trip, you must make it known at the earliest opportunity to the ICNOS leader (if you booked a guide tour) or to ICNOS office (if you booked a self guided tour), who will normally be able to take appropriate action. If at the end of the trip you feel your complaint has not been properly dealt with you must notify us at info@icnosadventures.com within 30 days of the end of your trip.

13. Disclaimer

You accept that:
a) ICNOS is not responsible for the acts and omissions of others, including tour guides, airlines and accommodation providers or for any loss, damage, death, injury or expense (including loss of money paid in advance), which you may incur as a consequence of the acts and omissions of others; and
b) ICNOS will not accept responsibility or liability if you contravene any law or regulation of any country or region visited; and
c) ICNOS will not be liable for any breach of any law by any person with whom you travel on the tour; and
d) Any independent arrangements that you make that are not part of the ICNOS trip (including pre- and post accommodation) are entirely at your own risk and ICNOS cannot and does not give you any assurance, representation or warranty in connec- tion with any such arrangements; and
e) You may not rely on any representations concerning the tour made by ICNOS which are not contained in these conditions.
f) Nothing in these terms and conditions shall exclude or limit ICNOS’S liability for fraud and dishonesty.

14. Privacy

Unless you have authorised us or we are required by law to do so, personal information about you will be kept confidential to the best of our ability and will not be used for any purpose other than to enable us to provide you with the services you wish us to provide and to inform you of additional products and services which may be of interest to you. All marketing material sent to you will include an option for you to request removal from mailing or contact lists for any future marketing.

15. Cookie

What are cookies and what they do:

This contract and all matters arising from it are subject to Italian law and the exclusive jurisdiction of Italian courts.
